II. Organizational Context
|
|
Under the overall guidance and supervision
of the UN Coordination Specialist, the Coordination Assistant
assists in the overall management of administrative services,
administers and executes processes and transactions ensuring
high quality and accuracy of work. The Coordination Assistant
promotes a client, quality and results-oriented approach.
The Coordination Assistant works in close
collaboration with the Operations, Programme and projects’ staff
in the Country Office and other UN agencies staff to exchange
information and ensure consistent service delivery.

Efficient administrative and
financial support to the RC Unit
q
Support to UN Common Services

Ensures efficient administrative
support, focusing on achievement of the following results:

Full compliance with
administrative activities with UN roles, regulations and
strategies;

Preparation of Purchase
Orders and follow-up on payments;
q
Logistical organization of UN
meetings, workshops, conferences and retreats;
q
Compilation of information
for UN Director, UN website and UN Security Plan.

administrative and financial control in the office,
focusing on achievement of the following results:

Creation of payment vouchers
and requisitions in UNDP’s financial system – ATLAS;
q
Maintenance of administrative
control records such as commitments and expenditures;

Proper control of supporting
documents of funds and activities;

Compilation of information
for audit purposes.

Follow-up on common service
activities in collaboration with the Common Service
Assistant, as part of the implementation
of UN Reform

4. Manages efficient filing and
record maintenance functions, focusing on achievement of the

Efficient maintenance of UN
system and partners’ records and filing according to the UNDP
file classification system;
q
Maintenance of UN Lesotho’s
information on the UNDG website

5. Supports knowledge building and
knowledge sharing in the Country Office, focusing on
achievement of the following result:

Sound contribution to
knowledge networks and communities of practice.

Recruitment Qualifications
|
|
Education: |
Completion of high school education.
Certification in administration is desirable. University degree
in business or public administration is desirable but not a
requirement.
|
|
Experience: |
Minimum of two years of relevant experience
in administration or programme support services. Experience in
the usage of computers and office software packages (MS Word,
Excel etc). Experience in handling of web-based management
systems.
|
|
Language Requirements: |
Fluency in at least
one UN language and Sesotho.
|
